Properties and Facilities Manager

Department: Facilities Reports to: Chief Operating Officer Location: London Type: Full-Time

Purpose of Position

The role is stand alone and takes overall responsibility for the property portfolio (5 stores, 1 Head Office (owner occupier) plus 1 Family Office), and supports future growth. The job holder will uphold property standards, ensure adherence to landlord covenants, statutory compliance and work closely with the Office Manager on health and safety and facilities aspects.

Please note this role is 5 days per week in the office.

Key Responsibilities:

Responsibilities (for MBIL locations and Private Office where required):

General:

  • Manage and propose the Properties budgets across all locations with the aim to keep costs competitive to market rates and within budget as far as possible.
  • Prepare an annual maintenance and repair plan across all properties and to report on monthly on the progress
  • Ensuring all tenancy obligations are met in a timely manner including cross functional coordination to make sure all teams are aligned
  • Accountable for the proactive facilities aspect by implementing structures, policies, or processes for the management of properties 
  • Conduct regular reviews of business rates across all properties to ensure optimal rates are charged
  • Develop close relationships with the facilities management company, Avison Young, any external consultants, and service providers; including Hard and Soft M&E, security, fire, energy brokers, architects, engineers and any other property management consultants.
  • Regular inspections to all Manolo Blahnik locations to oversee plans and maintain property records
  • Familiarity with space planning and utilisation optimisation.
  • Support Finance in the management of the building, property, and contents insurance for all locations.
  • Support the Office Management team to ensure day-to-day building operations are being delivered of all facilities management services to provide the best possible working environment for employees and clients.
  • Oversee external contractors to site and ensure correct documentation is in place
  • Reviewing service level agreements with contractors to ensure value for money, prepare specifications and tender contracts.
  • Support the implementation and monitoring of disaster recovering and business continuity plans.
  • Assist with administrative tasks, duplicate office keys are in order and client internal events and launches.

Installations:

  • Work cross functionally as well as with the suppliers to ensure that all property installations are functioning and fit for purpose.

Safety:

  • Primary contact for all escalations relating to the portfolio. E.g., faulty mechanical and electrical equipment or building fabrics, health and safety incidents across the property portfolio or risks, failed third party services or concerns, security incidents or risks.
  • Monitor the operation and safe use of maintenance tools, PPE and any other work-related equipment.
  • Supporting with the Commercial division with contractors for new acquisition fit-outs; ensuring compliance with local law and requirements: in particular, insurance, tenders and contractors, commissioning for HSE, Security, Fire and Safety, handover from Contractors.

Any other tasks as requested.

Skills and Experience Required:

  • Experience in building and facilities management.
  • Knowledge of UK Health and Safety, fire and security systems.
  • Working knowledge of maintenance and engineering.
  • Robust troubleshooting and analytical skills.
  • Communication: Effective presentation skills and ability to converse with a diverse range of people at all levels.
  • Problem-solving skills with a solution-based mindset. Ability to prioritise tasks and ensure delivery of results within tight deadlines.
  • Excellent attention to detail.
  • Excellence: High level of finesse and excellence required in delivery of all tasks.
  • Ambassador:Requirement to act as an ambassador for the company.
  • Must have a thorough understanding of all utilities services (gas, electric, water & heating supply) and demonstrate an ability to problem solve these areas to aid crisis management
